International seminar of the European Institute for Gender Equality and its communication

European Institute for Gender Equality (EIGE) was an initiator of an international seminar Joining efforts towards Gender Equality in the European Union 2010–2015 and planned inviting a part of the most important implementers of the EU Gender Equality Strategy to participate in it.

Challenge


The seminar was the first event of European extent EIGE has organized since its foundation in June 2010, when the institute had started its activities in Vilnius and became the first EU agency to open its headquarters in Baltic States. Information about the seminar had to reach not only Lithuanian, but also European audiences; hence the goals of its communication were determined by this necessity. The best event organization practice was our answer to the scale and uniqueness of the upcoming event.


Insight


The status of the event and participation of VIP guests set high standards in event organizing expertise, which was also necessary in order to manage international communication of the seminar. With regards to that, in a tender announced by EIGE the agency VRP | Hill & Knowlton and organisers of business events Small Talk Ideas had presented a united proposal, which enabled the client to effectively achieve goals of the event. In addition to that the cooperation of two companies-Book members ensured the added value of the services: two agencies inter-coordinated their activities directly and the client benefited from the streamlined organizational work.


Expertise


On the 22nd of November 2010 VRP | Hill & Knowlton and Small Talk have organised an international seminar of the EIGE and the press conference of one of its participants, Vice-president of the European Commission Vivian Reding. Event organisation services included every task needed, from the logistics of incoming guests and choice of the location for a seminar to ensuring a smooth course of its program.


VRP | Hill & Knowlton communication consultants ensured media coverage of the event in Lithuania and abroad. During the seminar there was also presented a new logo of the EIGE, as the moment was used to culminate a competition for its design, which had taken place all over Europe under organisation of Small Talk Ideas.


Outcome


The event that hosted nearly 100 experts of European gender equality was evaluated positively both by its participants and contracting authority. It was announced and its results were covered in Lithuanian and international media. There were issued around 50 publications and reports altogether. The seminar excelled in smooth process, as well as in high quality of accommodation, catering and other services provided to its participants.
